Privacy Policy



FH Canada (we, our, us) fosters an environment based on mutual trust, cooperation and shared success. In support of our desire for mutual trust and the respect for the privacy of our donors, protecting the privacy and confidentiality of personal information is a priority for FH Canada. Collecting, using, and disclosing personal information in an appropriate, responsible, and ethical manner is fundamental to FH Canada's daily operations.

This Policy has been adopted to ensure the ongoing protection of FH Canada confidential and personal information. We are committed to protecting personal information in compliance with the Personal Information Privacy Act (PIPA) and Personal Information Protection and Canada’s Privacy Act. This policy outlines standards for the collection, use, and disclosure of personal information obtained through the FH Canada website.

Guidelines


In accordance with legislation, FH Canada collects, uses, and discloses personal information for legitimate organizational purposes that a reasonable person would consider appropriate in the circumstances.

The Privacy Officer is responsible for our privacy policies and practices. Any questions, concerns, or complaints regarding this policy can be addressed to them at privacy@fhcanada.org.

This policy is updated regularly to reflect current organizational practices and changes to applicable legislation. It was last updated January 2024.


Collection and Use


Personal information is only collected when it serves legitimate, reasonable organizational purposes and it is used solely for the purpose it was collected. If it is used or disclosed for a reason other than which it was originally collected, FH Canada obtains the express consent of the individual except where required by law.

FH Canada uses technology such as Google Analytics to help make our website easier to find and navigate. You can learn more about how Google protects this data and can opt out of interest-based advertising.

FH Canada may use artificial intelligence tools for internal activities, such as database automation and reporting. FH Canada takes steps to use the tools responsibility and protect the confidentiality of information of our supporters. In all instances, FH Canada applies its Privacy Policy and the appropriate privacy legislation in the use of AI.

Disclosure


FH Canada does not share personal information collected through the website with third parties. However, our website contains links to other sites, and FH Canada is not responsible for the privacy practices of other organizations’ sites.

Consent


FH Canada obtains consent from individuals to collect, use, or disclose personal information where required by law. The way consent is obtained varies depending on the circumstances and the type of personal information collected. We make all reasonable efforts to obtain express consent from individuals before collecting, using, or disclosing their personal information.

You may withdraw your consent at any time, subject to legal or contractual restrictions, provided that we are given reasonable written notice. We will inform you of the likely consequences of the withdrawal of consent, which may include our inability to provide products or services to you.

Protecting your Personal Information


FH Canada is responsible for the personal information within its possession and control, including information shared with a third party for processing (i.e.: Canada Post). When information is shared with a third party, contracts are in place to ensure that information shared is adequately protected.

Personal information collected through the website is stored electronically. We protect personal information from unauthorized access, disclosure, use, or modification and against theft or loss regardless of the format in which it is stored. Appropriate safeguards are put in place based on the sensitivity of the information.

Information is protected through physical, organizational, and technical measures. Access to personal information is restricted to employees and other agents of FH Canada who require the information to perform their job duties, and to those otherwise authorized by law. Our computer network systems and databases are secured by complex passwords and two-factor authentication. FH Canada ensures that employees who handle personal information are aware of and understand the importance of maintaining the confidentiality of such information.

Depending on the sensitivity of your personal information, we will employ appropriate security measures to protect it. The measures may include, for example, the physical security of offices, the limiting of access on a “need-to-know” basis, and the use of passwords and encryption.

When required, personal information is destroyed safely and securely. Where law requires that personal information be kept for a specified amount of time, we comply with the applicable legislation.

Phone Protocol


FH Canada will ensure employees are using the following safeguards when dealing with any donors' personal information:
  • Hardcopy documents containing donors' personal information must be stored in locked filing cabinets when not being used.
  • Employees will update donors' personal information through over the phone verification, Personalized email request or a mail-in request. Employees from our Supporter Services team will not request your personal information via text.
  • If an employee must take donor paper files offsite (e.g., sponsorship forms), they will follow specific organizational guidelines for protecting them.
  • Employees will be aware of their surroundings when discussing donors' personal information - they will always limit what is discussed.
  • When discussing information over the phone with donors, employees will use sound judgment to ensure the information being relayed to the donor is kept confidential.


Access to and Amending Personal Information


FH Canada grants an individual access to their personal information held upon request. Written requests may be submitted to the Privacy Officer at privacy@fhcanada.org. We respond to all requests for access within 30 days. If we deny an individual’s request for access to their personal information, a written notice stating the reason for the refusal is provided.

If an individual finds errors in their personal information, they may submit a written request to have us make any necessary corrections. We will update any incorrect information as required and ensure the information is also updated by applicable third parties.
